February 21, 2017 Board Meeting

VCC Board Meeting Agenda

February 21, 2017

Attendees:  Pastor Nick Dimmick, David Loewer, Tim Brandt, Amy Brandt, JJ Riffell, Christina Riffell, Trudy Koverman, Vince Serraino, and Rick Fennell.

  1. UP, IN and OUT.

  1. The Mission Team Leads (MTL) monthly reports are provided in Atch 1. The most significant item to note is that there are several structural items that will need to be prioritized and addressed in the very near future; specifically replacing the roof, capping the chimney, and the source of dampness in the Fellowship Hall.  Vince is still gathering data but should be ready to present a plan to the board at the March mtg.

  1. Pastor Nick provided a draft membership covenant as a sample of one that we may adopt. He asked the board to start giving some thought to what our covenant should look like.  The Elders will bring a proposed one forward for board review/approval in the future.

30 Days Past Accomplishments (17 Jan – 20 Feb)

  • Removed 2 Handicap parking signs (church garage and sign closest to Parsonage garage).
  • Replaced missing tile on gym roof; Kremer Roofing added piece of sheet metal.
  • Caulked sidewalk/foundation (sidewalk headed towards parsonage).  Purchased and installed plastic downspout to redirect water from foundation.
  • Clean up and dried carpet (southwest wall).  (See below in 3-month outlook)
  • Worked with Kremer roofing to patch water leaks in gym and main level restroom. Currently no leaks.
  • Replaced furnace filters as needed.
  • Improve airflow fellowship hall area.  Closed vent in furnace closet.  This helped some but not much.  On 3-month look ahead.
  • 5-year capacity load test was completed by Newcomer and Davis; state requirement.
  • Doors to elevator were opening when elevator was not on same floor; safety issue. Newcomer and Davis repaired the elevator switches.
  • General cleaning of Sanctuary, fellowship hall, and180 classroom.  Completed Feb 18.
  • Relocated projector and installed a new screen.  Completed Feb 18.
  • Swap/anchor church pews.  Completed Feb 18.
  • Secure additional bids to replace roof.  2nd bid coming from Don Hubbard Jr Roofing based in Piqua.  Company needs to core drill the roof.  This will be done 2/20 or 2/21.  The estimate is due by 2/24.
  • Received bid from Kremer roofing.
  • Cap chimney- recommend contractor to perform the work due to safety and equipment. Mosely Masonry 2/16 reviewed the chimney; waiting for estimate.  We may have some issues with water seeping through missing mortar (see pics on powerpoint presentation).
  • Thank you to everyone that participated at church “pew and clean up party” on Feb 18.

Three Month Look-Ahead

  • Review finances for new roofs.  Select roofing contractor (look at phasing roof- see pics on Ppt).  Present to congregation.
  • Cap chimney; select contractor to perform the work due to safety and equipment.
  • Secure bid to replace gutters; tied to financing for the roof.
  • Remove insulation in tray ceiling above stage.
  • $600 to remove ash tree and grind stump in front of parsonage; Gunckle Tree Service.
  • Water coming through southwest wall.  Paneling is crumbling and will need replaced (caulking and redirecting water did not help much). Water may be coming in through basement from old parsonage.
  • Review airflow to fellowship hall area. This may require another duct from furnace.
  • Clean church down spouts.
